Kakitome

This page explains how personal information and data are handled in the app “Kakitome” (the “App”) for Mac, iPad and iPhone, and how analytics are used on this website, which introduces the App.

1. Information the developer collects

The developer of the App does not collect your personal information.

No name, email address, phone number, location or contacts are collected. No account and no sign-in are required.

The App contains no analytics SDK and no advertising SDK of any kind. It shows no ads.

Recorded audio, transcripts, anything you write in the editor, and the output of summaries or translations are never sent to the developer.

2. Everything is processed on your device

The core functions of the App — recording, transcription, summarizing, translation and proofreading — all run on your own device.

Transcription uses either the speech recognition built into the operating system or a model you downloaded to the device (Whisper, NVIDIA Parakeet, Cohere Transcribe). AI conversions use either Apple Intelligence or a model you downloaded to the device (MLX). All of these run locally and send neither audio nor text to any server.

The only exception is when you configure a “local LLM / OpenAI-compatible API” endpoint yourself, described below.

3. Microphone and speech recognition permissions

When you record with the microphone, the operating system asks for microphone permission. The recorded audio is saved as a file on your device and read back locally for transcription.

Using the speech recognition built into the operating system also prompts for speech recognition permission. That processing is likewise completed on the device, and the audio is not sent anywhere.

You can revoke either permission at any time in your system settings.

4. Calendar access

Calendar integration is off by default. Only if you turn it on does the App read from and write to your device's calendar, through the operating system's standard EventKit framework.

What it does is limited to: finding an event that overlaps the time you were recording so that its title, time, location and attendees can be placed at the top of the transcript, and appending a short summary to that event's notes (creating or amending events according to your settings). The contents of your events are never sent to the developer.

Google Calendar events are included only if you have added the Google account in your operating system's account settings. The App never communicates with Google directly. It handles no OAuth and no access tokens; it only reads and writes the calendar your OS already holds.

5. Network connections

The App connects to the network only in the following cases.

(a) Downloading model weights. When you choose a transcription model or a built-in AI model in Settings and download it, the weight files are fetched from Hugging Face. That request carries nothing but the request for those files; no audio and no text is sent.

(b) Connecting to an LLM server you configured. Only if you set a “local LLM / OpenAI-compatible API” endpoint in Settings is the text being converted sent to that endpoint. If the endpoint is a server on your own network, such as Ollama or LM Studio, the traffic stays on that network; if you point it at a cloud API, the text is sent to that provider. That transmission is the result of your own configuration, and the provider's handling of it is governed by their privacy policy. If you do not configure an endpoint, this connection never happens.

(c) In-app purchase. The App communicates with Apple when you buy or restore a purchase.

No other network connections are made.

Any API key needed for an endpoint is stored in the device's keychain. The developer never receives it.

6. Information stored on your device

The following is stored on your device only: recorded audio files, transcripts (.txt), the document open in the editor, the contents of the replacement dictionary, AI preset settings, downloaded model weights, your other settings, and a record of whether Kakitome Pro has been purchased.

These live in the standard storage locations (the app's container and UserDefaults) and in any folder you chose yourself, and they are not sent to the developer or to any third party.

Deleting the App removes what is stored in its container. Files written to a folder you chose outside the app remain.

7. Copying transcripts to Google Drive and similar folders

If you turn on “also save the transcript .txt to a second location”, transcripts are additionally written to the folder you selected.

All the App does is write a file into that folder. It has no direct connection to Google Drive, iCloud Drive or any other cloud service — the syncing is done by that service's own app. Once the file has synced, its handling is governed by that service's privacy policy.

8. In-app purchase (Kakitome Pro)

The App offers a single one-time (non-consumable) in-app purchase, Kakitome Pro. It is not a subscription.

Neither the App nor its developer collects or stores payment information such as credit card details. Payment is processed by Apple (the App Store).

The App communicates with Apple to check whether the purchase has been made. The purchase state is recorded on your device only.

9. Tracking

The App does not present the App Tracking Transparency prompt. It does not obtain the advertising identifier (IDFA) and does not track you across other companies' apps or websites.

10. Analytics on this website

This website is hosted on Firebase Hosting and uses Google's Firebase Analytics (Google Analytics for Firebase) to understand how the site is used.

This may collect information such as the pages viewed, the referrer, an approximate region, and the type of device and browser. It concerns browsing this website and is unrelated to use of the App.

11. Third-party services

The App and this website use Apple (App Store / StoreKit), Hugging Face (model distribution) and Google (Firebase Hosting / Firebase Analytics).

In addition, and only where you have configured them yourself, the App uses the LLM server you specified and the cloud service behind the copy destination folder you selected.

Data handling by each service is governed by that provider's own privacy policy.

12. Children's privacy

The App is not designed primarily for children.

The developer of the App collects no personal information from any user, regardless of age.

13. Changes to this policy

This policy may be revised without notice as laws change or as the App and this website change. Any revision takes effect when it is published on this page.
